Exemption Status: Non-Exempt
Pay Grade(s): 8 ($27.51+DOE/Hour)

Purpose: The Human Resources (HR) Administrative Assistant will assist in the administration and coordination of functions supporting the HR Operations Manager and the Learning and Development (LD) Manager. The incumbent will provide support for ongoing operations and projects under the direction of the HR Operations and L&D Manager, while also fulfilling administrative duties as needed in support of other roles.

Essential Functions. An individual in this role must be able to perform the following functions with or without reasonable accommodation:
• Prepare for review policies and procedures related to HR operations, programs, and initiatives.
• Maintain updates in designated HRIS platform; communicate updates consistently and timely.
• Update related HR systems related to programs, learning & development, benefits, or other designated departmental resources.
• Assist in development of foundational groundwork for project proposals and initiatives, conducting industry research, utilizing AI when appropriate, collecting & inputting data, communicating with key stakeholders in a proactive and timely manner under supervision of HR Ops Manager.
• Assist in the development, updates, and implementation of relevant user guides and manuals; distribute to appropriate parties throughout the Tribe.
• Primary travel coordinator for all Human Resources employees, utilizing Easy Biz and other related programs specific to Tribal processes.
• Conduct random, new hire, and reasonable suspicion drug and alcohol testing as necessary
• Oversight of supply ordering, ensuring all procurement procedures are followed when applicable.
• Reconcile Divvy cards for assigned employees.
• Provide support to other HR positions as requested.
• Respond to employee inquiries in a timely manner; provide secondary support by routing of communications in centralized Human Resources Inbox.
• Occasional travel will be required for this role.

Knowledge, Skills & Abilities. A comprehensive set of capabilities required to perform job tasks effectively:
• Maintain current knowledge of HR operational initiatives and projects.
• Proficient in HRIS platforms, LMS, relevant software, and Microsoft Office Suite.
• Excellent written and verbal communication skills.
• Excellent organizational and time management skills.
• Ability to work independently and prioritize workload.
• Ability to organize, plan, and maintain confidential records.
• Ability to search, select, compile, and summarize data and information.
• Ability to compare data for completeness, identify any discrepancies or inaccuracies, and make the necessary corrections.
• Ability to learn quickly and adapt easily to new systems and works efficiently across a variety of software platforms.


Minimum Qualifications (education, experience, skills):
• Associate’s degree
• Two (2) years related experience

Substitution for associate’s degree:
• Four (4) years HR or similar administrative experience

• Most of the work is performed in a professional office setting and is generally sedentary, requiring routine walking, standing, bending, and carrying of items weighing less than 40 lbs.

Work Environment. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job:
• Some travel may be required on small aircraft or ferry.
• Certain positions at Tlingit and Haida may have exposure to certain hazardous materials or conditions. The supervisor will review these if applicable.
